How to track wedding RSVPs without a spreadsheet

A working system for wedding RSVP tracking: what to record per guest, how to chase non-responders, and how to hand your caterer a clean final headcount.

The spreadsheet works until it does not. It holds names and a yes column fine. What it cannot tell you is whether Ammar has seen the invitation, whether the reply that arrived by text on Tuesday ever got typed in, or which of the four people in the Khan household is actually coming.

The unit problem, which causes most of the chaos

You invite households. You feed people. Those are different numbers and a single flat list cannot hold both. Decide early that your list has two levels: the invited party, which is who receives one invitation, and the individual attendees inside it. A party of four that replies "yes" without saying how many is not an answer, it is a range.

Fix this at the point of asking. If the reply form asks "how many of you are coming" and pre-fills the party size you already believe, guests correct it in one tap and you never have to ask again.

What to record per guest

Delivery state: sent, delivered, opened. Without this you cannot tell a refusal from a bounced email.
Answer: yes, no, or outstanding. Not blank, which is ambiguous.
Headcount: confirmed number of people, not the number you invited.
Meal or dietary answers per person, attached to the person rather than the household.
Side and group: bride, groom, colleagues, university friends. This is what makes seating possible later and what lets you chase sensibly.
Who chased them and when. Two hosts chasing the same aunt twice is worse than not chasing at all.

The four-state chase

Once you have delivery state, chasing stops being a guilt-driven blanket message and becomes three small jobs:

Never opened. This is a plumbing failure, not a snub. Resend on a different channel: message the people you emailed, email the people you messaged.
Opened, no answer. Ask a direct closed question naming the date. Guests who are waiting on something will usually tell you what they are waiting on.
Answered yes, count unclear. Confirm the number and the meal in the same message so you only interrupt them once.
Past deadline. Phone the remaining few. Then assign a default and write down why.

What to hand the caterer

Ask the venue two things before you finalise anything: the date the number locks, and the cost of being ten over versus ten under. Then deliver a single sheet with the confirmed adult count, the confirmed child count, the meal breakdown, the allergy list with guest names attached, and your assumed count for outstanding guests marked clearly as an assumption. Caterers deal with estimates all the time. They cannot deal with an estimate that was presented as a fact.
