How to word an RSVP request that actually gets replies

RSVP wording that gets answers: formal and casual examples, deadline phrasing, plus-one wording, and the reminder message that recovers non-responders.

"RSVP" on its own is an instruction with no verb, no date and no method. Guests read it, intend to reply, and do not. Almost every non-response problem starts in the wording, and it is the cheapest thing on your entire invitation to fix.

Six rules that do the work

• Name the date. An open-ended request has no moment at which it becomes urgent.
• Name the method, once. Two options split the reply and double your admin. Pick one.
• Say why the date matters. "So we can confirm numbers with the caterer" converts far better than a bare deadline, because it makes the deadline someone else's rule rather than your preference.
• Ask a closed question. "Will you be joining us?" gets an answer. "Let us know your plans" gets a maybe.
• Address it to a person. A reply request with no name attached belongs to nobody.
• Keep it to one line. Anything longer reads as terms and conditions.

Formal wording

The favour of a reply is requested by the fourth of August.

Kindly respond by 4 August so that we may finalise arrangements with our caterer.

We would be grateful for your reply by Friday 4 August. Your response helps us prepare a place for you.

Please reply by 4 August. Regrettably we are unable to accommodate guests who have not confirmed.

That last one is firmer than most hosts are comfortable with, and it is the single most effective line on this page for a venue with a hard capacity.

Plus ones, said clearly

Ambiguity here is expensive, because a wrong assumption costs you a seat and a meal. Say the number rather than implying it:

We have reserved two seats in your name. Please confirm both by 4 August.

This invitation is for you and a guest. Let us know your guest's name when you reply.

We are keeping the day to close family only, so this invitation is for you alone. We hope you understand.

Regrets only, and when not to use it

"Regrets only" means guests reply solely if they cannot come, and silence counts as yes. It works for a large casual gathering where you are over-catering anyway. It fails badly for anything with plated meals, seating or a capacity limit, because silence is indistinguishable from having never seen the invitation.

Regrets only by 4 August. If we do not hear from you, we will be expecting you.

The reminder that recovers non-responders

Send two different messages, not one. To people who never opened the invitation:

Hi Ammar, I think this may have landed in a strange folder. Here is the invitation again. We would love to have you on the 12th.

To people who opened it and did not reply:

Hi Ammar, no pressure either way, but the caterer needs our numbers on Friday. Are you and Hala able to make the 12th?

Bilingual and right-to-left wording

If part of your list reads Urdu or Arabic more comfortably than English, put the reply request in both. Keep the deadline in numerals, which read the same in either script, and keep the reply action identical in both versions so nobody is choosing between two different instructions.

Where the wording meets the mechanics

Wording only converts if the reply is genuinely one tap. Some platforms cap what a guest can tell you: Facebook Events limits responses to Going, Maybe or Cannot Go, with no mechanism for custom questions at all, so a dietary note has to happen in the comments.
